 Let’s help you launch your career with AVL/Solvet! We are looking for an energetic and dedicated Supply Chain and Customer Service Coordinator for Bow Valley Resources (BVR)Veterinary Supply.
THE ROLE
Reporting to the Vice President, Commercial Services and Logistics the Supply Chain and Customer Service Coordinator concentrates on customer service excellence through the entire organization and is involved with all aspects of Supply Chain Management of finished goods.  This role creates and maintains strong business relationships with customers and logistics providers, manages and plans the end-to-end process of client purchase orders while ensuring that Standard Operating Procedures are followed.  
This position requires an incumbent with a strong work ethic and excellent communication skills. You must be keen to learn AVL/Solvet and BVR Veterinary Supplies Ltd. processes and procedures, and enthusiastically engage and collaborate with various parts of the organization in working as part of a dedicated and results oriented team.
EXPECTATIONS & RESPONSIBILITIES
Supply Chain Responsibilities:  
  • Work with Compounding team to plan the shipping, storing, distributing, and maintaining finished goods inventory level. 
  • Ensure compliance with policies and procedures for dispensing prescription medicine for animals. 
  • Coordinate and expedite the workflow within BVR Veterinary Supplies ensuring targets of shipping within 24hrs is achieved. 
  • Assist in the preparation of the production schedule, forecasting and monitoring the progress of production to meet the target schedule. 
  • Coordinate and monitor the movement of all customer shipments and ensures that it is shipped and received on time.  
  • Communicate regularly with the production, purchasing, warehouse, sales team, and inventory clerk to align the activities between other supply chain work units. 
  • Work closely with the inventory clerk in maintaining the inventory level of materials to ensure that stocks are adequate as forecasted. 
  • Maintain and monitor the finished goods stock rotation, and outdated stocks and request disposal of such.  
  • Assist in the reconciliation of physical inventories with system counts. 
  • Maintain and timely update of Client, product, and other necessary details on BVR website. 
  • Resolve critical and sensitive problems and related complaints and implement corrective measures and process improvements.  
 
Customer Service Responsibilities: 
·      Receives and processes Purchase Orders (POs) from clients. Communicate with clients regarding their shipment ETAs, backorders, etc. Coordinates with customers for the    pickup of their orders. 
  • Advocates for our customers in all aspects of the operation.  Displays customer service excellence and guides internal staff towards the same.  
  • Generates Return Material Authorizations (RMA’s) for returned products and communicates with the Quality team to ensure documentation is completed. Generate credit notes to clients once we receive the returned products.  
  • Ensure that all orders are invoiced and released in the system. 
  • Receive and verify the information of the clinic applying for a New Client Account Setup and endorse it to the finance department for approval. 
  • Manage customer communications via phone, email, and other routes promptly.  
  • Communicate with the field team and Vice President of Sales to ensure they are kept up to date on shipments and customer interaction, as required.  Acts as their first point of contact internally for customer inquiries.  
  • Prepare weekly and daily reports.  
  • Completes controlled documents for Quality as needed. 
  • Other duties as requested  
 
QUALIFICATIONS & EXPERIENCE: 
·      Post-secondary education in Agriculture or related field is required 
·      Knowledge of the livestock and companion pet veterinary markets in Canada  
·      5 + years experience in Sales, Logistics and Purchasing
·      5 + years experience with Inventory Management
·      Proven track record of excellence in customer service and inventory management 
·      Ability to be organized and on top of tasks in a busy environment 
·      Understanding of logistics and supply chain 
·      Transportation of Dangerous Goods (TDG) and WHIMIS certification
